Scan Checks in Aptexx
❶ Navigate to Accounting → Aptexx
❷ On the left navigation menu, click Payments → Check Scanning
❸ On the Check Scanning page, click NEW BATCH
❹ Click SCAN CHECKS
❺ The check scanner will start to initialize.
❻ Insert the checks in the scanner and let them scan. After scanning, it will list the number of checks on your dashboard. Under Actions column, click VIEW/EDIT on the first check.
❼ Review or enter all the information if it did not automatically fill in:
- Check Number
- Check Amount
- Type of check
- Property
- Type (Rent or Deposit)
❽ Select the property to assign the check to.
❾ Assign the corresponding person to this check by clicking ASSIGN PERSON.
❿ You can type in the last name or unit number to search residents. You have a drop-down menu to choose from for the lease status but the default is Current.
Example:
In this example, we will use Jake Test as the resident. Enter test in the Name search box, then select JAKE TEST from the search results.
Once you have chosen the property and the resident, click MARK AS COMPLETE.
✍ Tip: You can also assign multiple residents to one check.
You will receive a confirmation: Check scan was saved.
You need to repeat this process for all the checks. After assigning each checks to residents, the Status will change from Needs Review to Completed.
Review the Check Batch details and click Confirm Batch. The system will ask you to enter the amount in the Confirm Check Value box.
The system will ask you to enter the amount in the Confirm Check Value. Enter 10.00 then press Enter on your keyboard and it will display the next check. You need to repeat this process for all the checks in this batch.
The dashboard will show you a total number of checks confirmed and total amount of the batch. You can now click Submit Batch.
Once submitted, the Dashboard will display a summary of the payments batched.
You can also create a PDF of the deposit batch which will look like this:
Resident on certified funds only – personal check will be grayed out and only a money or cashier check will work.
Repair button – Click Repair Check to fix the Routing /DDA information. You will have to choose the little symbols at the bottom
