❶ Go to the applicant’s account page. There are two ways to complete this task:
- Enter the applicants name or unit number in the Quick Search bar.
- Go to the Accounts tab, select Applicants from the drop-down menu and select the Applicant from the screen list, as shown in the figure below.
❷ On the left navigation menu, click Move Out Reconciliation under the Leasing Workflow.

- Enter the Date the Move-out Reconciliation is being performed. If the date entered is before the move out date, a reminder displays indicating, Reconciliation date must be on or after the move out date.
- Enter descriptive Notes, this will display on the Final Account Statement.
- Current Outstanding Charges display.
- Default charges set by the property may also display.
- Click Add to create new Move-Out charges (damages, cleaning, etc.)
- Click the piece of paper under Image to upload photos of move-out damages.
- Name the file.
- Select to show on Resident Portal.
- Current Balance: What they owed before Move-Out Charges
- Adjusted Balance: What they owed after new Move-Out Charges are added.

- Deposit Application and Refunds sections, deposits are applied to Outstanding Charges first and then to new Move-Out Charges.
- You may edit the amount of Deposit applied to Balance and Deposit Refund fields (if you have permission).
- If the former resident is receiving a refund there will be an amount in the Deposit Refund field.
- If the former resident is receiving a payment refund three will be an amount in the Payment Refund field.
- Click Spit to split the deposit refund between the main lease holders. (This can only be done with deposits not payment refunds.)
- Click Save or Save and Print to print the Final Account Statement.

- If the resident has a balance after applying the deposits to charges there will be an amount in the Deposit applied to balance field.
- The section Outstanding Balance Action displays on the page. Select an option:
- Option 3: Post to Ledger, Write-Off Balance, Create Collections Account. Performs all the tasks above PLUS all outstanding balances are moved into a collection account. These residents appear on the Outstanding Collection Accounts report as Pending (until a collection agreement is created).
Click Save to finalize the Final Account Statement.
